Set up a business checking account if you haven’t already. Keep personal and business money separate from day one. Makes tax time way easier.

The game changer was setting up automatic expense categorization rules. Gas station purchases go to vehicle expenses, office supply stores to business supplies, etc. Takes maybe 10 minutes a week now instead of hours at the end of each quarter.
Also started putting 25% of each payment into a separate tax savings account right when it hits. The software helps me figure out if that’s enough or too much based on my actual numbers.
Costs around $15 a month but pays for itself just by avoiding those penalty fees from miscalculations.
Wave Accounting is free and handles the basics pretty well. I switched after getting hit with penalties two years back.

Set up recurring expense categories (rent, software subscriptions, etc.)
Use the mobile app to snap photos of receipts on the spot
Check in every Friday for 15 minutes to categorize new stuff
The quarterly tax estimates aren’t perfect but they’re close enough to keep you out of trouble. Way better than my old system of shoebox full of receipts.
One thing nobody mentions - get a dedicated business credit card even if you’re solo. Makes tracking so much easier when everything business related goes on one card. Then you just import that too.
I still mess up sometimes but at least now the software catches obvious mistakes before I submit anything.
